I’ve been an event and wedding coordinator for over 12 years, and if there’s one thing I’ve learned, it’s that the right talent can make or break an event. Whether I’m looking for a magician to spark wonder or a musician to set the perfect tone, I follow this simple 4-step process to find the best.

 

Step 1: Evaluate

First impressions count. I look at their website, promo videos, and social media presence. A clean, professional brand tells me they take their craft seriously, they’re not just a hobbyist—and they know how to present themselves to a crowd. Next step the phone call, text, email or social media inquiry.

 

Step 2: Gauge Professionalism

Clear, timely communication is everything. I pay close attention to how quickly a vendor responds, how organized they are, and whether they take the time to truly understand the event. A smooth process behind the scenes almost always translates to a stress-free performance on the big day. Your day-of team plays a huge role in how seamless everything runs—especially if you don’t have a planner or coordinator. Without someone managing the behind-the-scenes details, choosing reliable, proactive vendors becomes even more crucial

 

Step 3: Look for Versatility & Experience

Great performers read a room. Whether it’s background jazz for a cocktail hour or close-up magic at a corporate mixer, they should know when to dial it up—or tone it down. Looking over other performance reviews and pictures will give me a sense of how the crowd is going to react whether it’s an intimate wedding, a high-energy corporate party, or a family-friendly celebration. A true professional knows how to do this and will make your event, your whole day, your reputation…shine!

 

Step 4: Trust the Vibe

There’s always that “something extra.” Maybe it’s their energy, their personability, or a 5-star review that makes me lean in. If the vibe checks out…Then seal the deal!
